The Human Resources Assistant (HRA) is an important role within the Harvard Law School human resources team. As the first point of contact to many visitors and clients, the HRA is center to the superior customer service which is core to our team’s values. The HRA also supports the Chief Human Resources Officer and Human Resources Director, coordinating calendars as well as offering administrative support to the office. Job-Specific Responsibilities

Using outstanding customer service and administration skills, you will:

  • Greet visitors, answer general inquiries, and direct more specific inquiries to core administrative leadership and/or point person
  • Manage communications and serve as primary contact for mail, copy, fax and telephone administration
  • Research and communicate procedures and benefits and respond to a wide range of inquiries, ensuring timely responses and follow-up
  • Manage inventory, order supplies, process financial transactions and reconcile accounts
  • Update and maintain personnel files and records, create electronic files, manage file retention and archiving, update Harvard directories, and prepare correspondence and other materials
  • Support new hire onboarding and completion of paperwork, including I-9 processing
  • Assist with general HR and departmental support such as calendaring, room reservation, office organization and website maintenance
  • Provide some administrative support for events including logistics (space, catering, etc) and tracking RSVPs
  • Occasionally support recruitment and payroll
  • Participate as member of a cross functional team and handle other duties as necessary

Basic Qualifications

Minimum three years of administrative experience. Education beyond high school may count toward experience.

  • Is highly organized with great attention to detail and communications skills
  • Can exercise good judgment, select and apply established procedures correctly, and appropriately determine when to escalate
  • Is experienced with technology and a quick study with new systems

Demonstrated experience working in a fast paced, high volume, deadline oriented, and customer focused environment preferred. Experience with, or interest in, business process improvement a plus. Prior Harvard experience and/or HR experience is also a plus.
