Summary

This position is located in the Office of the Treasurer of the National Gallery of Art. The Office of the Treasurer is responsible for the Gallery's financial and information technology operations. The incumbent reports directly to the Treasurer's Museum Business Advisor and is responsible for a variety of office management and administrative duties as well as program management functions.

Responsibilities

The incumbent will:

  • Compiles and organizes departmental monthly reports. Responds to public inquiries. Attends meetings and takes meeting minutes.
  • Assists with the general operation of the division for the routing and processing of paperwork. Ensures correct spelling, content and appropriate style, as well as correct usage of grammar and punctuation. Handles distribution of announcements and invitations for special events and recruitment.
  • Prepares and processes travel requisitions, authorizations and reimbursements for the division.
  • Serves as time keeper.
  • Proficiency with Microsoft Outlook email and calendar, Word, Excel, PowerPoint, Adobe as well as basic office equipment is required.
  • Ability to prepare presentation materials and independently note and follow up on commitments made at meetings by staff members.
  • Accepts and arranges appointments and meetings for the Treasurer, such as exhibition budget and special committee meetings with staff throughout the Gallery.

Qualifications

Candidates must possess at least one year of specialized experience, equivalent in responsibility to the NF-301-7 level in the Federal service, scheduling, producing, executing and coordinating social and protocol activities.
